How we share your information

We do not sell your personal information. We share data only with the service providers who help us run The Vault Stock, with photographers and artists where collaboration requires it, with affiliate partners for referral tracking, and where disclosure is legally required. Your information may also be transferred as part of a business sale or acquisition.

The kinds of providers we use

These are the categories of company that process data on our behalf so the library can work. Each handles only what its job requires, under contract, and none of them may use your information for their own purposes.

• Hosting and database providers, which hold your account, your favorites, your folders and your download history.
• Payment processors, which handle billing. We never see or store your full card number.
• Content delivery providers, which store and serve the images and video in the library.
• Email providers, which send account emails such as receipts and password resets, and our newsletter.
• AI providers, which power search and the features described below.
• Analytics and advertising providers, which help us measure how the site is used.

AI features

Some parts of the library use AI, and that means data leaves our systems to be processed.

• Search. What you type in the search bar is converted into a mathematical representation so we can match it by meaning rather than by keyword.
• Match an image. If you upload an image to find something similar, that image is sent to an AI provider to be described. We do not add it to the library and we do not use it to train anything.
• The art director. What you write to it is sent to an AI provider along with the images it is discussing. Your saved and downloaded history is used to inform its suggestions.

Our AI providers are contractually prevented from using this data to train their models.

Analytics and how we watch the site

We record how the site is used so we can improve it. This includes pages viewed, searches run, images downloaded, clicks, scrolling and where attention lands on a page. Some of this is recorded by us directly and some through third-party analytics tools. We use it to understand what members are looking for and what is not working, never to build a profile of you as an individual for sale or transfer.

Where your data is held

The Vault Stock is an Australian business. Your data is stored and processed outside Australia, including in the United States, the European Union and India, because that is where our service providers operate. By using the service you consent to that transfer. We only use providers who commit to protecting your information to a comparable standard.

Your rights and choices

You can access and update your account information, cancel your membership at any time, unsubscribe from marketing communications, request deletion of your account, and obtain a copy of your data. Australian users are protected under the Privacy Act 1988 (Cth).

Content usage

Downloaded content is licensed according to your membership tier. Redistribution to third parties, commercial use without the appropriate license, and creating prints for sale are prohibited. Content created during an active membership may continue to be used after cancellation in line with our Terms & Licensing.

Data security

We implement reasonable security measures, including encryption, password protection, security audits and restricted access, to protect your information. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

Data retention

We retain your information for as long as necessary to provide our services and fulfil the purposes described in this policy, or longer where required by law.

Third-party links

Our site links to external platforms. We are not responsible for the privacy practices of those third parties and encourage you to review their policies.

Children’s privacy

Our services are not intended for anyone under 18, and we do not knowingly collect information from children.

Changes to this policy
